The Kiosk FAQ section contains guidance and answers to frequently asked questions about LightWork’s kiosk functionality and related processes.

How do I find an Employee's ID & PIN?

Navigate to "Timesheets > Maintenance > Punch User".

Click 'Find Employee' in the ribbon.
Note: You can also use the search for box if you know a portion or the full ID or PIN of the Employee. -
Enter the Employee's name and click Search. Once you have found the desired Employee select their name and click Okay.

The name will show on the screen along with their ID & Pin.

How do I change an ID or PIN?

Log into LightWork as an Administrator.

Navigate to "Timesheets > Maintenance > Punch User".

Locate the Employee/Punch User that requires a change.
-
Edit the ID or PIN (make sure to click out of the item line or the change may not save properly).

Save the changes.
The change will happen instantly, so be sure to update the Manager & Punch Users of the change.

How do I create a new punch User?

Log into LightWork as an Administrator.

Navigate to "Timesheets > Maintenance > Punch User".

Click New.
-
Add the ID (this must be a unique number and cannot be a duplicate of an already existing Punch User).

Assign an Employee (this must be the Employee that will be punching).
If an Employee is not matched to the Punch User, then LightWork with not associate those punches with the Employee's Timesheet.

Add a PIN (be sure to click out of the field or the PIN may not save correctly).

Save the changes.
Be sure to update the Manager & Employee of the new Punch User.

Can new LightWork Users be automatically given Punch User privileges?
If the “Allow Kiosk Punching” system option is default auto-selected, new Users don't need to be individually enabled as Punch Users (like what is detailed below). You can verify if this is enabled in your system by going to "Maintenance > System > System Options" and verifying "Allow Kiosk Punching" field is selected.
For an existing User, go to the Navigation Pane, go to "Maintenance > Timesheets > Punch Users", and click to add a new Punch User. Once there, add in the desired ID and PIN information and search to tag Employee Record to this Punch User. After verifying that the “Allow Kiosk Punching” option is checked, you’re ready to save! Once this is completed, this User will be able to punch using any Kiosk and those punches will be tied to their Timesheet.

What is the difference between a PIN/ID and a Username/Password?
A Punch ID and a PIN code do not qualify as login credentials for the LightWork System. The ID and Pin only work on a Kiosk. These are created and assigned to an Employee under the Punch User Maintenance.
A Username and Password are used to log into the LightWork system, and will not work on a Kiosk. These are created under the User Maintenance.

What is Geotagging?
Geotagging in LightWork is the process of adding geographical identification metadata to punches captured within the system from Personal and Public Kiosks. This data usually consists of latitude and longitude coordinates, though depending on the device used this can also include altitude, accuracy data, and time stamps.
In regards to GPS information for punches, once turned on, this functionality wouldn’t be available for punches ‘going back’ or before the Timesheet Module Options are modified to turn on Geotagging. To enable this functionality you’d navigate into the Timesheet Module Options and enable the ‘Geo Tagging’ option.
Once this is enabled, punches coming from GPS-capable devices where Location permissions have been granted to LightWork will have accompanying LAT/LONG coordinates in the Line Item drop-down within a Timesheet. If no coordinates are visible, there is a record of denied location access permissions that can be accessed when reviewing back-end data. Some other reasons why this could be occurring:

User denies access when prompted for Allowing LightWork to know your location as they Punch.

The permission was previously denied at one point and the browser is retaining that ‘deny’ and isn’t re-asking each time (browser-stored Location Permission setting).

The User is punching using incognito mode in their browser.

The User is on a device that doesn’t support LAT/LONG coordinates.
